1. Who We Are

LinkCheck is operated by PeachByteSolutions LLC, DBA PeachByte ("we," "us," or "our"), a managed IT services provider based in Adairsville, Georgia.

2. What We Collect

We collect only what is necessary to provide the security analysis service:

URL Checks

  • The URL you submit for analysis
  • Your IP address (for rate limiting only)
  • The analysis results and verdict

Email Analysis

When you forward an email to LinkCheck, we process the email to extract:

  • Email headers (From, To, Subject, Date, routing information)
  • Sender email addresses and display names
  • URLs found in the email body
  • Technical authentication data (SPF, DKIM, DMARC results)

We do not permanently store email body content.

Email content is processed in memory for analysis and is not written to our database. Only headers, metadata, and analysis results are retained.

3. How We Use Your Data

  • To provide the Service: Analyzing emails and URLs for security threats
  • To generate verdicts: Your submission data is sent to an AI model (OpenAI GPT) for analysis. The AI does not train on your data.
  • To send you results: Email analysis results are sent back to the address that forwarded the email
  • To enforce rate limits: IP addresses are used to prevent abuse
  • To improve the Service: Aggregate, anonymous statistics (scan volume, verdict breakdown) may be used to improve accuracy

4. Data Retention

  • Scan results: Automatically deleted after 30 days
  • URL cache: Cached results expire after 24 hours
  • Raw emails in S3: Automatically deleted after 7 days via lifecycle policy
  • Rate limit data: Stored in memory only, cleared on service restart

5. Third-Party Services

We use the following third-party services to operate LinkCheck:

  • Amazon Web Services (AWS): Email receiving (SES), temporary email storage (S3), and notification delivery (SNS). Subject to the AWS Privacy Policy.
  • OpenAI (GPT): AI-powered analysis and verdict generation. Data sent to OpenAI is not used for model training. Subject to the OpenAI Privacy Policy.
  • Cloudflare: DNS and web traffic routing. Subject to the Cloudflare Privacy Policy.

6. Data Security

We implement reasonable technical and organizational measures to protect your data, including:

  • Encryption in transit (HTTPS/TLS for all connections)
  • Restricted database access with scoped credentials
  • Automatic data deletion per retention schedules
  • Infrastructure hosted on managed, audited platforms (AWS, Cloudflare)

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Request access to data we hold about you
  • Request deletion of your data
  • Object to processing of your data
  • Request correction of inaccurate data

8. Children's Privacy

The Service is not directed at children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be reflected by updating the "Last updated" date above. Continued use of the Service constitutes acceptance of the updated policy.
